Key Responsibilities:

  • Schedule and coordinate complex appointments and meetings across global time zones
  • Arrange all domestic and international travel, including visas and other requirements
  • Manage email and phone communication on behalf of the Executive
  • Maintain paper and electronic files, data entry, and organization of shared drives and Microsoft Teams sites
  • Prepare and edit memos, documents, and correspondence
  • Summarize and prioritize issues for senior management action
  • Plan and support international events with attendees from multiple countries
  • Collaborate with other Executive Administrative support on scheduling and coordination
  • Assist with special projects and attend corporate events as needed
  • Draft and send communications with global officials and industry associations

Job Specifications:

  • Minimum of 8 years of experience in an Executive support role
  • Proficiency with MS Office and various software programs
  • Excellent verbal and written communication skills
  • Strong time management and organizational abilities
  • Exceptional interpersonal skills and ability to build relationships
  • Strong problem-solving and planning skills
  • Interest in global communications and customs
  • Ability to work flexible hours when needed
